01 · THE PROBLEM
Is this person cleared to climb today?
Crew certificates expire on different dates. Officers at the site needed a fast, trustworthy answer, and the office needed one place to keep certificates, inspections and renewals current.
BEFORE THE SYSTEM
Every check was a slow back-and-forth: the officer asked the office for a worker's certificates, the coordinator searched for them, then sent the answer back.
02 · WHAT IT DOES
- a.Officers search a crew member and get Cleared, Warning or Not cleared, computed from certificate expiry dates.
- b.The phone app works cache-first, and locks itself when its data is too old to trust.
- c.Officers record inspection waves on site; admins review and approve them.
- d.Admins get view and edit permissions per module, so new modules slot in without rework.
03 · HOW IT'S BUILT
One database, two apps that always agree
DESKTOP
Admin app
Employees, certificates, renewals, approvals.
SUPABASE · POSTGRES
Row-level security
Each role reads and writes only what it should. Verdicts are calculated in SQL, in one place.
PHONE
Officer app
Search, verdict, inspection waves; cache-first.
the rule lives in the database, so the desk and the phone can't disagree
04 · HOW IT EVOLVED
Three versions in three months
- JUL 2026 Certificates DB JSON on Drive with Apps Script; officer logins checked on the server.
- AUG 2026 Platform on Sheets Rebuilt as modules: employees first, room for equipment and more.
- SEP 2026 Moved to Supabase Postgres, row-level security, verdicts in SQL.
